Description: We are looking for a part time Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our member stations and executive director, assisting in daily office needs and managing our association’s general administrative activities. Administrative Assistant responsibilities include managing accounts payable and receivable, preparing PEP reports and assisting with membership events throughout the year. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within the broadcast industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office. Financial: - Payroll and related taxes - Quarterly and Year End tax reports - Membership billing - Accounts Receivable - Accounts Payable - Budget Reports - Bank Statement Reconciliation - Maintenance of credit card program - Oversee all state, federal and KAB financial audits PEP (Public Education Partnership) Program: - Maintain PEP database of stations who receive mailings and formats needed - Receive spots from PEP participants, re-label and duplicate as necessary; post on website - Compile KAB materials to be emailed with spots - Maintain and distribute traffic instructions to radio and TV; distribute PEP materials to stations - Review affidavits and compile reports for PEP participants ABIP (Alternate Broadcast Inspection Program): - Coordinate Alternate Inspections with Inspector and stations - Send monthly ABIP reminders - Produce and mail certificates Office Maintenance: - Purchase and maintain all office technology - Purchase supplies for office - First line of defense answering office phone - Maintain office stationery (including letterhead, business cards, envelopes, etc.) Conventions - Convention and seminar logistical planning and execution - Check in participants onsite and distribute materials - Trouble-shoot during sessions/events - Assist in compiling Hall of Fame, Station Awards and Individual Awards materials for awards dinner - Assist in transportation, setup and breakdown of all convention sessions/meetings Membership Development: - Membership database maintenance and membership reports - Daily interaction with members and the public - Contact a minimum of 10 stations/clusters per month with non-members being at least three of those - Update station data throughout the year based on contacts required above - Assist in tracking, collecting and processing membership dues Other duties as determined by the President and/or Board of Directors
Qualifications: • Proven experience as an administrative assistant or office admin assistant • Knowledge of office management systems and procedures • Working knowledge of office equipment, like printers and fax machines • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) • Proficiency in QuickBooks • Excellent time management skills and the ability to prioritize work • Attention to detail and problem-solving skills • Excellent written and verbal communication skills • Strong organizational skills with the ability to multi-task • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
